8. Role Summary / Job Purpose

The Associate Project Manager is responsible for leading the end-to-end delivery of projects by managing scope, schedule, cost, quality, and stakeholder expectations. The role ensures successful execution through structured project governance, cross-functional coordination, risk management, and customer communication. The Associate Project Manager drives predictable delivery outcomes, ensures compliance to internal processes, and supports business success by improving execution efficiency, controlling risks, and enabling high customer satisfaction.

9. Key Responsibilities

  • Own and manage project delivery from initiation to closure, ensuring adherence to scope, timeline, cost, and quality benchmarks.
  • Lead cross-functional coordination with internal teams (Sales, PMO, Professional Services, Operations, Finance, Procurement, etc.) to ensure delivery readiness and execution success.
  • Develop and maintain project plans, schedules, RAID logs (Risks, Assumptions, Issues, Dependencies), stakeholder communication plans, and project closure documentation.
  • Track milestones, dependencies, and critical path activities, proactively identifying bottlenecks and driving mitigation actions to avoid slippages.
  • Ensure scope validation and change control by documenting exclusions, assumptions, customer approvals, and change requests through formal governance.
  • Support budget and commercial governance including project cost tracking, vendor coordination, billing readiness, and delivery closure documentation.
  • Drive lessons learned and process improvements to enhance delivery maturity and reduce recurrence of execution issues.

  • Strong project management expertise across full project lifecycle (initiation, planning, execution, monitoring, closure)

  • MS Word / Google Docs (documentation, SOPs, MOMs, closure reports)
  • Project management tools (Zoho/ MS Project / Smartsheet / Jira / Asana / Monday.com or equivalent preferred)
  • Collaboration tools (Microsoft Teams / Zoom / WhatsApp etc. for execution coordination)
  • CRM / Ticketing exposure (Salesforce / ServiceNow preferred)

 

12. Decision-Making Authority

  • Independently plan and execute project schedules, resource coordination, and task prioritisation within approved scope and governance.
  • Drive project-level decisions on risk mitigation actions, escalation triggers, and corrective plans.
  • Approve internal execution readiness checkpoints and closure documentation before leadership/customer submission.
  • Influence operational and vendor scheduling decisions to meet delivery timelines and quality standards.

 

13. Problem-Solving Complexity

  • Handles complex delivery scenarios involving multi-team dependencies, scope ambiguity, tight timelines, and changing requirements.
  • Expected to resolve execution blockers through structured analysis, stakeholder alignment, and proactive escalation management.
  • Drives preventive actions through continuous improvement, governance discipline, and lessons learned implementation.

 

14. Stakeholder Management / Influence

  • Internal Stakeholders:  Sales, PMO, Professional Services, Operations, Finance, Procurement, Leadership, HR, Support teams
  • External Stakeholders: Customers, Vendors, Field Engineers, Partner teams
  • Role requires strong customer-facing communication including project governance, expectation alignment, change discussions, and closure signoffs.
  • Expected to influence cross-functional teams through structured reporting, ownership, and project discipline.

 

15. Education & Certification Requirements

Mandatory

  • Bachelor’s degree in business administration, Engineering, IT, Operations, or related field
  • PMP / PRINCE2 / CAPM (anyone)

Preferred

  • ITIL Foundation
  • Agile certification (CSM / PMI-ACP – added advantage)

 

16. Experience Requirements

  • 8–10 years of experience in project management / PMO / service delivery/program coordination roles
  • Strong experience managing cross-functional stakeholders and customer-facing delivery governance
  • Exposure to IT infrastructure, field services, deployments, technical operations, or managed services is preferred
  • Experience handling vendor coordination, execution governance, documentation control, and customer communication
  • Strong reporting and project tracking expertise using standard tools, dashboards, and leadership reporting formats
